Mail Protection
As technology changes, so do hackers with malintent. Email is the most common way hackers gain access to companies. Your emails can contain confidential information which hackers use as an entry point to your network. Ransomware and phishing attacks can be a costly issue for your company. St. Louis Managed IT uses spam filters, email encryption, and other security measure to add layers of protection to your company's emails.
Spam Filter
A spam filter will scan any emails sent within your network and keeps the clutter down. It also can provide a quarantine for any emails with suspicious or harmful messages which could contain phishing attempts. Some advanced spam filtering can include URL rewrites and sandboxing. URL rewrites test links in emails before sending them along to your employee, this can ensure no links are suspicious. Sandboxing scans attachments to ensure they are not viruses before sending them along to your inbox.
Email Encryption
Email encryption is used so outside sources cannot read your internal email. Two types of encryption include:
Transport level encryption: Encrypts the email only during its transport. Once it reaches its destination, there's no more encryption.
End-to-end encryption: Encrypts the email during transport and once delivered until credentials are put in to open the email.
Most email providers include transport level encryption but some do not (like GoDaddy and Bluehost). To enable end-to-end encryption, an additional application is likely needed. There are many ways to encrypt but it's important to use one that works best with your company and your IT provider can help you choose.
Security Awareness Training
Unfortunately, employees are the main threat to your company's security. A breach with emails onto the company network because a user is lax or unaware of security protocols is the main way an attack can happen. Security Awareness Training can ensure that security is on the forefront of your employee's minds. Weekly security training videos followed by a short quiz can keep everyone up to date on the company's security protocols. Additionally, using a simulated phishing email can help identify which employees need more security training.
MFA
Multifactor Authentication (MFA) is recommended on all email platforms. MFA requires two forms of authentication to log on which helps prevent hacking into your users' emails. MFA can be set up many different ways depending on your email platform and most require the user to type in a one-time code that is texted or sent to the user.
Email Archiving
Email archiving preserves both your inbound and outbound emails. Some industries require email archiving (like the medical and financial industries) for certain amounts of time, some even up to 7 years. This is usually to meet compliancy regulations but email archiving can also be beneficial to restore deleted emails or searching for an old email with a word or phrase. Email archiving services can be used to still save all emails but allow your users to keep their inboxes smaller. Those archived emails can be found if needed but aren't as readily available or cluttering up your inboxes.
Adding Work Email to Phone
Adding work emails to employees' phones isn't always as straight forward as it may sound. St. Louis Managed IT is well-verse in both iPhone and Android phones and can help set up policies which require the phone to be encrypted so if the phone is lost or compromised, the company email and data isn't reachable.
Email Spooling
Email spooling helps prevent emails from bouncing back if the connection to the email server is down. This allows employees to send and receive emails from the email spooling service until your email server is reconnected. Once restored, the data will sync up so your employees don't miss a beat.
